KALO IQ team seats: how to add users and manage permissions
Team seats let multiple people access the same KALO IQ account. Here is how to add users, what each role can access and how seat limits work across plans.
How many seats each plan includes
Starter: 1 seat (account owner only). Growth: 5 seats. Agency: 15 seats. Additional seats beyond plan limits are not available as add-ons - upgrade to the next plan for more seats.
Each seat is a named user with their own login credentials. Multiple people sharing a single login is against the terms of service and creates attribution problems in the outreach and campaign tracking dashboards (you cannot see who sent what).
Adding a team member
Go to Settings > Team > Invite member. Enter the email address and assign a role:
- Admin: Full access to all features including billing, integrations and account settings. Assign to team leads.
- Member: Access to discovery, outreach, campaigns and reporting. Cannot access billing or account settings. Assign to campaign managers and coordinators.
- View only: Can see campaigns and reports but cannot run searches or send outreach. Assign to stakeholders who need visibility but not workflow access.
The invited user receives an email with a link to set up their password. They appear as pending in your team settings until they complete setup.

Managing permissions for agency accounts
On the Agency plan, team members can be assigned to specific client workspaces so they only see the campaigns and creator lists relevant to their accounts. This is important for agencies where multiple clients should not have visibility into each other's programmes.
Go to Settings > Workspaces to create client-specific workspaces. Assign team members to workspaces individually. Team members only see the workspaces they are assigned to unless they have Admin role, which has cross-workspace visibility.
Removing a team member
Go to Settings > Team, find the member and click Remove. Their access is revoked immediately. Their historical activity (outreach sent, campaigns managed) remains in the account record. You can add a new member in the freed seat immediately without waiting for a billing cycle.
